Spring Clean Your Tech – IT Housekeeping Tips for 2025

Spring isn’t just for decluttering your home — it’s the perfect time to tidy up your business tech, too.

A little digital housekeeping can improve performance, reduce risks, and make your systems easier (and safer) to manage. At Beyond, we recommend reviewing your IT setup at least once a year — and now’s a great time to start.

Here are 7 simple ways to spring clean your technology in 2025.

1. Review User Accounts and Access

  • Remove old staff logins

  • Audit who has admin rights (and remove them where unnecessary)

  • Rotate passwords for shared accounts

Beyond Tip! Unused or unmonitored accounts are a common way attackers gain access. Remove them as soon as possible!

2. Clean Up Shared Drives and File Storage

  • Archive or delete outdated files

  • Check permissions on shared folders (who can see what?)

  • Move local files into cloud storage like SharePoint or OneDrive

Keeping things tidy helps with data security and compliance — and makes it easier for your team to find what they need. We can help you migrate old data and advise on areas of improvement!

3. Refresh Your Passwords

If your team’s been using the same passwords for over a year — it’s time to change them. Encourage:

  • Longer, unique passwords for each system

  • The use of a secure password manager

  • Turning on Multi-Factor Authentication (MFA)

Strong passwords are your first line of defence. Cyber Essentials requires proper access control, including MFA. We enforce MFA as standard across all out client tech stacks to ensure your data and your business stays yours.

4. Test Your Backups

Backups are only useful if they work. Use your spring clean to:

  • Verify backup jobs are running correctly

  • Restore test files to confirm everything’s recoverable

  • Check how long a full restore would take (RTO)

Disaster recovery isn’t a “set and forget” process — it needs regular testing. All of our clients benefit from our proactive monitoring and backup solutions to ensure your business stays operational, has minimal downtime and can recover from disasters quickly.

5. Uninstall Unused Software

Unused programs clutter your systems and may pose security risks. Remove:

  • Old applications no longer in use

  • Trialware or bloatware

  • Plugins and browser extensions you don’t recognise

Cyber Essentials Reminder: You must remove unsupported or unpatched software. If you’re one of our Cyber Essentials Certified clients, we’ll advise you of any out of date applications and how to move forward. If you’re not certified - we strongly recommend getting certified (no matter your business size), but

6. Reboot That PC!

Seriously — when’s the last time some of your team restarted their computers?

Rebooting:

  • Applies patches

  • Clears memory and cached data

  • Speeds up performance

Add it to your regular habits. Your PC will thank you. All of our clients benefit from a scheduled reboot cycle to ensure patches are applied and systems are operating at their best!

7. Schedule a Tech Health Check

This is the perfect time to ask:

  • Are your devices due for replacement?

  • Are your licences still right for your needs?

  • Is your cybersecurity still fit for purpose?

Beyond offers a full IT health check to help you identify bottlenecks, risks, and opportunities for improvement, existing clients benefit from an annual or bi-annual review to ensure everything is running smoothly.

Final Word

A little spring cleaning can go a long way — for productivity, performance, and protection.
